Broadband Labels Document Retention Policy
- Policy Purpose
The purpose of this document retention policy (Policy) is to provide guidelines for the retention and storage of Alma Telephone Company, INC.’s (ATC) broadband labels and related documents. The Policy ensures that all necessary documents are retained for a period of time as required by the Federal Communications Commission (FCC) while also providing for the secure disposal of unnecessary documents.
- Definitions
- Broadband labels: Broadband consumer labels for each stand-alone mass-marketed broadband internet access service ATC currently offers for purchase with the content and in the format prescribed by the FCC.
- Documents: All forms of electronic or physical records or data that are related to ATC’s broadband labels. This includes evidence sufficient to support the accuracy of the labels’ content, such as the data that supports the performance information that appears on the label, along with any links to relevant network management practices and privacy policies.
- Retention Period
ATC maintains an archive of all labels required under section 47 C.F.R. 8.1(a)(1) for at least two (2) years from the time the service plan reflected in the label is no longer offered to new customers and ATC has removed the label from its website or alternate sales channels.
For plans where customers received an Affordable Connectivity Program (ACP) benefit, ATC maintains records to document compliance with all ACP requirements for at least six (6) years.
ATC will provide any archived label to the FCC upon request within thirty (30) days.
ATC will provide an archived label upon request and within thirty (30) days to an existing customer whose service plan is associated with the particular label. As an alternative to providing the actual label, ATC can provide a URL or QR code if that was how the customer accessed the label at the time of purchase.
- Storage
ATC will store documents in a secure and controlled environment to prevent unauthorized access, tampering, or destruction.
ATC will store electronic documents on secure servers, with access limited to authorized personnel only.
ATC will store physical documents in secure cabinets or other secure storage locations.
ATC will back up electronic documents regularly and store them in secure offsite locations.
- Disposal
ATC will securely dispose of documents that have exceeded their retention period in accordance with industry standards and regulations.
ATC will shred or burn physical documents.
ATC will securely delete and/or overwrite electronic documents.
- Review and Revision
This Policy will be reviewed as needed to ensure it is up-to-date and relevant to ATC’s needs and regulatory requirements. Any changes to this Policy will be communicated to all relevant employees and stakeholders.
